Full Job Description – Director of Preconstruction
Structor Group, Inc. is a commercial construction company providing construction and renovation services to the commercial office, education, healthcare, retail/restaurant, and specialty markets. Structor Group, Inc. is seeking a hardworking, reliable, and dedicated associate to be part of our team.
Director of Preconstruction:
- Director of Preconstruction will be a member of the company leadership team and participate in all Strategic Planning Initiatives and work closely with the entire leadership team and our strategic planning consultant.
- The department currently consists of (1) Chief Estimator, (1) Senior Estimator, (1) Estimator and (1) Assistant Estimator.
- The Director of Preconstruction is dedicated to managing the RFQ/RFP/Bid and negotiated work process and leads the Estimating Department.
- Team Coaching: Work with our Employee Development Consultant on the coaching process and providing coaching for any team members in the preconstruction department.
- Coordinate receipt of RFQ’s, RFP’s and Preliminary Budget requests for negotiated projects. Track State Opportunities through Procurement website, distribution, documentation of RFQ/RFP/Bid schedule. Delegate to Management, Estimators, Project Executives, and administrative support to help with response requirements. Work with consultants to respond as needed.
- Project Interviews: Coordinate preparations and practice for all interviews with Structor Group’s in-house marketing team and outside consultants. Participate in interviews to lead topics relative to Preconstruction and Estimating.
- Marketing: Attend lunches or outings focused on client development. Usually, these outings are planned by Sr. Management and Project Executive team leaders.
- Outreach: Attend industry focused events to further Structor marketing and development goals and to expand ongoing marketing outreach efforts.
- Continuing Education: Attend industry focused learning seminars to expand department leadership’s learning and SG knowledge base.
- Community Outreach: Work with other company management on community outreach initiatives.

Estimating Department Description:
- The department consists of Estimators and Administrative Assistants dedicated to estimating much of the volume of projects that come in for bids and preliminary budgets. This department is focused on taking the load off Management and Operations teams to allow them to focus on Client Satisfaction, Client Retention and Development of future business opportunities.
- Coordinate receipt of drawings, distribution, documentation of bid schedule, distribution of Request for Pricing from subs, creation of estimates. Estimators, Project Managers and Administrative Support to help with follow up calls on outstanding/ongoing bids. Currently we are using Building Connected to facilitate this process.
- Update Bid Tracking Spreadsheet as each bid comes in and distribute this list to Management and Project Executive team leaders every week. Update this list of all results regarding job Wins, Pending, Loss or Cancelled. Categorize each bid by E: Education, H: Healthcare, S: Specialty, O: Office. Work with Management and Project Executive team leaders to follow up on pending bids as needed.
- Complete Estimates: Small Projects: Under $250,000.00, (Excel Document)
- Complete Estimates: Typical Projects: Over $250,000.00, (Timberline Program)
- Create and Maintain Master Subcontractor List & Project Type Specific Lists (Currently the company uses Building Connected to keep up with the list).
- Develop sub lists for other areas of Georgia and Southeastern States. The company has started lists for Florida, Alabama, and Tennessee for projects completed in those areas recently.
- Make sure to investigate all other subs working in a building when a site visit is performed. This may include checking competitor’s job sites, driving to other nearby jobsites, etc. This may include calling building engineers to find out past subs that worked in a building. It may mean asking people around our office that may have worked in the building in the past. Leave no stone unturned.
- Strive to have multiple competitive Sub numbers in every job. Utilize resources here more effectively to help you achieve this goal.
- Strive to have the lowest numbers and most complete scope from quality subs. Spend more time in the week ahead of larger bids creating scope sheets for every critical trade and filling in the information we have received ahead of time. NEVER have to rush at the last minute to fill in this information. Delegate many of these tasks to the Operations and Field team that will be managing the work if successful.
- Strive to have estimates in a format ready including cover letters, bid leveling sheets and any appropriate information for Executives to review at least a day in advance of RFQ, RFP, or bids being due. Call executives to review bids prior to turning them in if they are out of the office. Be initiative-taking to keep executives in the loop as critical RFQ, RFP, or bids are approaching.
- On screen take off and BIM: Use these programs more effectively for detailed estimates and preliminary budgets.
- Online Plan Room: Explore this option. Must have login capability.
- Ensure the Estimating Team is working overtime to stay ahead of the deadlines when we have a heavy bid load.
- Details, Details, Details. Make sure estimators NEVER have holes in an estimate at bid time. This is only a result of not putting in the necessary time to analyze the bid ahead of time.
- Continually evaluate the Estimating team and upgrade it. Including participation with SG’s Intern program.
- Train one new young estimator in the first year.
- Train a second young estimator in the second year.
